At TravelYog, we understand that travel plans can change unexpectedly. We are committed to providing a fair, transparent, and hassle-free refund and cancellation experience for all our customers. This Refund & Returns Policy outlines the terms and conditions under which refunds, cancellations, and modifications are processed for the various travel services booked through our website https://travelyog.com/.

This policy applies to all bookings made directly through TravelYog, including but not limited to flight tickets, hotel accommodations, holiday packages, tour activities, cruise bookings, car rentals, travel insurance, visa processing fees, and customized itineraries. By making a booking with us, you acknowledge that you have read, understood, and agreed to the terms of this Refund & Returns Policy.

Please note that each travel service is governed not only by our policy but also by the specific terms and conditions of our partner suppliers—airlines, hotels, tour operators, and other third-party service providers. In the event of any conflict, the supplier's terms shall prevail for that specific service, and we will clearly communicate this to you at the time of booking.

Important: We strongly recommend reading the specific cancellation policy mentioned on each travel package or service page before completing your booking, as refund eligibility and timelines vary by service type and supplier.

1. General Cancellation Policy

The following general principles apply to all cancellations made through TravelYog. Specific refund percentages depend on the time of cancellation relative to the departure or check-in date, as well as the policies of our partner suppliers.

  • Cancellation requests must be made in writing via email to our support team. Verbal or telephonic cancellation requests are not accepted as final until confirmed in writing.
  • All cancellation charges are calculated on the total booking amount, including taxes and fees, unless otherwise specified by the supplier.
  • Refunds are processed to the original payment method used at the time of booking. In exceptional cases where the original method is unavailable, we may offer store credit, bank transfer, or an alternative method as mutually agreed upon.
  • Partial cancellations (e.g., one traveler in a group booking) are subject to the same cancellation terms, and any price adjustments for the remaining travelers will be communicated at the time of processing.
  • "No Show" situations—where a traveler fails to arrive for a flight, hotel check-in, or tour without prior cancellation—are considered a cancellation with zero refund unless the supplier's policy states otherwise.

Specific cancellation charges may vary for peak season bookings (Diwali, Christmas, New Year, summer vacations), promotional fares, group bookings, and certain destinations. Always refer to the specific terms mentioned in your booking confirmation.

2. Flight Ticket Refunds

Flight ticket refunds are governed primarily by the airline's fare rules and cancellation policy. TravelYog acts as an intermediary and processes refunds strictly in accordance with the airline's terms.

2.1 Refundable vs. Non-Refundable Fares

  • Refundable Fares: These tickets can be cancelled for a refund, though airlines may deduct a cancellation penalty. The refund amount depends on how far in advance the cancellation is made and the specific fare class rules.
  • Non-Refundable Fares: The base fare is not refundable upon cancellation. However, in many cases, government taxes and airport fees are refundable even on non-refundable tickets. TravelYog will process the refund of such recoverable taxes to you.
  • Partially Refundable Fares: Some promotional fares allow a partial refund after deducting a substantial cancellation penalty.

2.2 Airline-Initiated Cancellations

If the airline cancels your flight or makes a significant schedule change (typically a change of more than 3 hours in departure/arrival time), you are entitled to a full refund or an alternative flight arrangement at no extra cost, as per the airline's policy and applicable aviation regulations (such as DGCA guidelines in India or EU Regulation 261/2004 for European flights).

2.3 Flight Refund Processing Fee

In addition to the airline's cancellation penalty, TravelYog charges a nominal processing fee of ₹350 per passenger per segment (for domestic flights) or ₹500 per passenger per segment (for international flights) to cover administrative costs associated with processing the cancellation and refund.

3. Hotel Booking Refunds

Hotel booking refunds depend on the cancellation policy set by the hotel or the accommodation provider. These policies are clearly displayed on each property's page on our website and in your booking confirmation email.

3.1 Common Hotel Cancellation Policies

  • Free Cancellation: Many hotels offer free cancellation up to a specified deadline (commonly 24 to 72 hours before check-in). If you cancel before the deadline, you receive a full refund.
  • Partial Refund: Some hotels charge a percentage of the first night's stay or the entire booking as cancellation fee if cancelled after a certain date.
  • Non-Refundable Bookings: Heavily discounted "non-refundable" rate plans are not eligible for any refund upon cancellation. These are clearly marked as "Non-Refundable" on our website.
  • Advance Purchase / Prepaid Rates: Bookings made under advance purchase or prepaid offers are generally non-refundable, though some properties may offer partial refunds at their sole discretion.

3.2 Early Check-out & No Show

If you check out earlier than the originally booked departure date, the hotel may charge you for the remaining unused nights as per their early departure policy. No-shows without prior cancellation are charged the full booking amount with no refund eligibility.

4. Holiday Package Refunds

Holiday packages are complex products that bundle multiple services—flights, hotels, transfers, tours, and activities. Cancellation of a package booking affects each component differently.

4.1 Cancellation Charges for Packages

When you cancel a holiday package, the refund is calculated after deducting cancellation charges from each component supplier (airline, hotel, activity provider, etc.) plus TravelYog's service fee. The following table provides a general guideline for our service fee component:

The total refund amount will be the package cost minus (TravelYog Service Fee + Supplier Cancellation Charges). A detailed breakup of all deductions will be provided to you at the time of processing your cancellation request.

Travel Tip: We highly recommend purchasing comprehensive travel insurance at the time of booking your holiday package. Travel insurance can cover cancellation charges in case of medical emergencies, natural disasters, or other unforeseen circumstances that force you to cancel your trip.

5. Visa & Insurance Refunds

5.1 Visa Processing Fees

Visa processing fees paid to embassies, consulates, or authorized visa facilitation centers are non-refundable under all circumstances, including visa rejection. TravelYog's visa assistance service fee is also non-refundable once the application has been submitted, as the service has been rendered. If you cancel before we submit your application to the concerned authority, our service fee may be partially refundable.

5.2 Travel Insurance Premiums

Travel insurance policies purchased through TravelYog are provided by third-party insurance companies (such as ICICI Lombard, HDFC Ergo, or similar). Insurance premiums are:

  • Refundable in full if cancelled within the insurer's free-look period (typically 14 to 30 days from the policy issuance date, provided no claim has been made and the trip has not commenced).
  • Non-refundable after the free-look period has expired.
  • Partially refundable on a pro-rata basis in some cases, subject to the insurer's terms and conditions.

To cancel a travel insurance policy, please contact us, and we will facilitate the cancellation with the insurance provider. The refund, if eligible, will be processed by the insurer directly to your account or through TravelYog, depending on the insurer's process.

6. Non-Refundable Services & Charges

The following services and charges are strictly non-refundable under all circumstances, regardless of when cancellation is requested:

  • Visa application fees and embassy/consulate charges (as mentioned above).
  • Travel insurance premiums after the free-look period.
  • Peak season surcharges and blackout date premiums levied by airlines and hotels.
  • Non-refundable promotional fares and "Super Saver" rate plans (clearly marked at the time of booking).
  • Convenience fees, payment gateway charges, and processing fees paid at the time of booking.
  • Donations, charity contributions, or add-on charitable components included in any travel package.
  • Gift vouchers, discount coupons, and promotional credits used towards the booking—these are adjusted against the refund amount and are not redeemable for cash.
  • Meals, seat selection, and baggage fees pre-purchased as add-ons with non-refundable flight tickets.
  • Tips, gratuities, and porterage charges prepaid as part of the package.

7. How to Request a Refund

To initiate a cancellation and refund request, please follow the steps below. We have designed a simple and transparent process to ensure your request is handled efficiently.

    Submit a Written Cancellation Request

    Send an email to support@travelyog.com with the subject line "Cancellation Request – [Your Booking ID]". Include your full name, booking reference number, and the reason for cancellation. You may also submit the request through the "My Bookings" section on our website if you have a registered account.

    Acknowledgment & Verification

    We will acknowledge your request within 2 business hours during working days (Monday to Saturday, 9 AM to 7 PM IST). Our team will verify the booking details and confirm the cancellation eligibility and applicable charges.

  3. 3

    Receive a Refund Calculation Breakdown

    We will send you a detailed email with the exact refund calculation, including all deductions (supplier penalties, service fees, taxes, etc.) and the final refundable amount. You must confirm your acceptance of this breakup before we proceed.

  4. 4

    Confirmation & Processing

    Upon your written confirmation (reply to our email), we will process the cancellation with all concerned suppliers and initiate the refund. You will receive a confirmation email with the final refund amount and expected timeline.

  5. 5

    Refund Disbursement

    The refund amount will be credited to your original payment method as per the timeline in Section 8 below. You will receive a transaction reference number for tracking purposes.

Important: Cancellation requests are considered effective from the date and time we receive your written email, not from the date you verbally inform us or leave a message. To avoid higher cancellation charges, please ensure you send the email well before the cancellation deadline.

8. Refund Processing Timeline

The time it takes for a refund to reflect in your account depends on the service type and the original payment method. Below is the estimated timeline from the date we confirm your cancellation:

Please Note: Business days refer to Monday through Friday, excluding public holidays in India. Some banks and payment gateways may take additional time to reflect the credit in your account after we have processed the refund from our end. If you do not receive your refund within the stated timeline, please contact your bank first, and if the issue persists, reach out to us for assistance.

9. Special Circumstances & Exceptions

TravelYog is committed to treating our customers with empathy and fairness. In the following special circumstances, we may offer enhanced refund terms or full refunds at our discretion, even if the standard cancellation policy would otherwise apply:

9.1 Medical Emergencies

If you or an immediate family member (spouse, child, parent, sibling) traveling with you faces a serious medical emergency preventing travel, we may facilitate a full or partial refund upon submission of valid medical documentation from a registered medical practitioner. The final decision rests with the respective suppliers, but we will advocate on your behalf to secure the maximum possible refund.

9.2 Death of a Traveler or Immediate Family Member

In the unfortunate event of the death of a traveler or an immediate family member, we will work with all suppliers to secure full refunds wherever possible. Valid documentation (death certificate) will be required. Some airlines and hotels have compassionate policies for such situations.

9.3 Natural Disasters, Pandemics & Force Majeure

In the event of natural disasters, epidemics, pandemics, political unrest, or other force majeure events that make travel impossible or unsafe, refund policies will be governed by the respective suppliers' force majeure terms. During the COVID-19 pandemic, many airlines offered credit shells and future travel vouchers instead of cash refunds. TravelYog will honor whatever option the supplier provides and communicate it transparently to you. We do not guarantee cash refunds in force majeure situations where our suppliers do not provide them.

9.4 Visa Rejection Cases

If your visa is rejected by the embassy or consulate, we can assist in processing cancellation of your travel bookings. Some travel packages include a "Visa Rejection Protection" feature (explicitly mentioned at the time of booking) that provides enhanced refund terms. Without this protection, standard cancellation charges apply. The visa application fee itself is non-refundable in all cases.

10. Booking Modifications & Date Changes

If you wish to modify your booking rather than cancel entirely—for instance, change travel dates, upgrade room type, add or remove travelers, or swap destinations—the following policies apply:

  • Date Changes: Date change requests are subject to the airline/hotel's amendment policy and availability. In addition to any supplier-imposed date change fee, TravelYog charges a date modification service fee of ₹500 per booking for domestic and ₹1,000 per booking for international modifications. Any difference in fare/rates for the new dates will be charged additionally.
  • Traveler Name Changes: Most airlines allow minor name corrections but do not permit complete name changes (which are treated as cancellations). Name correction fees vary by airline, plus our service fee of ₹300 per passenger.
  • Upgrades & Add-ons: Upgrading room type, adding meals, extra baggage, or new services to an existing booking is subject to availability and additional payment. TravelYog does not charge an extra service fee for upgrades booked through us.
  • Reducing Travelers or Services: Removing travelers or services from a booking is treated as a partial cancellation, and the cancellation charges for the removed components apply as per the standard policy.

11. Dispute Resolution & Chargebacks

We are committed to resolving all refund-related disputes amicably and fairly. If you are dissatisfied with the refund amount or processing, we encourage you to follow this escalation path:

  1. Step 1: Contact our customer support team at support@travelyog.com with a detailed explanation of your concern. We will respond within 2 business days.
  2. Step 2: If unresolved, escalate to our Grievance Officer at grievance@travelyog.com. The Grievance Officer will review your case independently and respond within 7 business days.
  3. Step 3: If you remain unsatisfied, you may seek resolution through alternative dispute resolution mechanisms, including mediation or arbitration, as per the governing law mentioned in our Terms of Service.
Regarding Chargebacks: Filing a chargeback with your bank or credit card company without first contacting us to resolve the issue may delay your refund significantly and may result in your booking being suspended or cancelled without refund by the suppliers. We kindly request that you contact us first and allow us the opportunity to resolve the matter before initiating a chargeback. If a chargeback is filed and our investigation reveals that the refund was processed correctly as per policy, we reserve the right to dispute the chargeback and seek reimbursement for any associated fees.
